## Three steps to your first workflow

Set it up once. After that, a run is a few clicks.

1. **Choose your files**: Upload them, or pick them from your Library or a cloud drive.
2. **Add and test steps**: Put tools in order, then test each step on a sample file.
3. **Run the whole batch**: Every file gets the same steps. Get one ZIP, or keep them all.

## Made for real batches

Different files need different steps. A workflow handles that, and tells you how every file did.

- **Send files different ways with If**: Check each file’s size, page count or name, with up to three rules. Big scans get compressed; the rest go straight on.
- **Test a step before you run it**: Pick a test file and see what the step does to it, like “3 pages · page 4 deleted” or “2.2 MB → 166 KB · 92% smaller”.
- **Or describe it to Fyne**: Type what should happen to each file. Fyne lays out the steps on the canvas, and you keep them or undo.
- **Every file accounted for**: Watch files move through the steps. A file that can’t run says why, and you can run it again without that step.

## Every step is a FynePDF tool

The tools you already use one file at a time, in the order you choose.

- **Delete pages**: Remove the pages you choose
- **Keep pages**: Keep only the pages you choose
- **Rotate pages**: Turn pages a quarter or half way
- **Reorder pages**: Reverse, or move the first or last page
- **Compress**: Make the file smaller
- **Grayscale**: Turn colour into shades of grey
- **Page numbers**: Number every page
- **Watermark**: Stamp text across every page
- **Sign**: Your saved signature, where you choose
- **OCR**: Make scanned pages searchable
- **Lock**: Ask for a password to open it
- **Rename files**: Like “contract-acme-signed.pdf”
- **To Word**: An editable .docx of each file
- **To Excel**: Tables into a spreadsheet
- **To images**: A JPG or PNG of each page
- **To Markdown**: Plain text for notes and AI tools

## Frequently asked questions

### What is a PDF workflow?

A set of steps you set up once, like Delete pages, Compress and Lock, that FynePDF runs on every file you give it, in the same order and the same way.

### How do I batch process PDFs with a workflow?

Build a workflow or open a template, press Run workflow and add your files. Each file goes through every step, and you get one ZIP or each result in your Library.

### Is it free?

Yes, to try. Without an account you can run a workflow on 1 file a day, up to 50 pages. A free account runs 3 files once a day, with up to 5 steps. Professional and Premium save workflows and run 25 or 100 files at a time.

### How big can one run be?

A run stops at its files, its pages or its size, whichever comes first: 3 files, 150 pages and 100 MB on Free, 25 files, 2,500 pages and 2 GB on Professional, 100 files, 10,000 pages and 5 GB on Premium. The largest file is 50 MB, 250 MB or 500 MB. Run the rest in another run.

### Does a workflow use AI?

No. A run uses FynePDF’s standard tools, so the same file gets the same result every time. AI only helps if you ask Fyne to lay out the steps from a description.

### What can an If step check?

A file’s size, its number of pages or its name, with up to three rules, all or any of them. Each file goes down Yes or No, and the two lines can meet again later.

### What happens if a file can’t go through a step?

That file stops and says why, for example when a step needs more pages than it has. The rest carry on, and you can run it again or run it without that step.

### What happens to my files?

Files not saved to your Library are deleted after 15 minutes. Results you save to your Library stay until you delete them.

### Can a workflow start by itself?

Not yet. Today you start each run. Workflows that run on new files in a Drive folder, on email or on a schedule are planned.
