- Scope, Price & Timing Compared

## Evaluate Any Bid in 3 Simple Steps

Extract pricing, deliverables, exclusions, and questions to raise about the proposal.

1. **Upload**: Drop the agency pitch, SaaS RFP response, or grant application into our upload area.
2. **AI Extraction**: The agent isolates the scope of work, pricing tables and delivery timelines.
3. **Review & Decide**: Get deliverables, costs, extra fees and gaps in a summary you can forward.

## Read Beyond the Proposal

Review costs, commitments, and what the offer excludes.

Analyze a vendor proposal or bid with questions about price, deadlines, deliverables, and scope. Check the source pages and export AI answer tables to keep the figures ready for your evaluation.

- **Review Costs and Dates**: Extract fees, milestones, and deadlines.
- **Find Scope Limits**: Check exclusions before agreeing to a bid.
- **Check RFP Requirements**: Review how the bid addresses your brief.

## Get past the pitch to the proposal.

Review pricing, deliverables, deadlines, and scope in the vendor's own document.

- **Pricing Table Review**: Read pricing tables and ask about tiers, retainers, or extra fees. Review the figures alongside the scope and terms in the vendor proposal.
- **Consistent Bid Questions**: Ask each proposal the same questions about cost, timeline, and scope. Build clear review notes you can use when evaluating vendor bids.
- **Decision Summaries**: Create an executive summary of a proposal's offer, costs, and open questions. Share the key points with your team before a vendor decision.
- **Explain, Summarize, Ask**: Select text in your PDF to explain a term, summarize a passage, or ask a question. Explore the detail you need without retyping it into chat.
- **Highlighted Sources**: Click a page citation to open your PDF at the source. When a text match is found, the passage is highlighted so you can check the AI answer.
- **Export Tables as CSV**: Download tables from AI answers as CSV files. Keep the rows and columns ready for Excel, Google Sheets, or your next document analysis.

## Read Proposals with a Clear Focus

Extract scope, pricing, deliverables, and questions for your next review.

- **Procurement Teams**: Extract a proposal's pricing, deliverables, and exclusions. Organize the details in a table and check page citations before discussing the bid.
- **Agency Owners**: Review your proposal for clear scope, assumptions, and client requirements. Ask which passages need more detail before sharing the next draft.
- **Grant Reviewers**: Summarize project budgets, requested funding, and proposed timelines. Use cited answers to prepare questions for a grant application review.

## Document Privacy

How your files are handled during and after your session.

- **No AI Training**: Your documents are used for your session and are never used to train AI models.
- **Encrypted Transfers**: TLS protects document transfers between your browser and FynePDF.
- **Auto-Deletion**: Your file is deleted within 24 hours of upload, unless you save it to your Library.
- **Privacy Policy**: Read how we handle document data and how to contact us about access, export, or deletion.

Your proposal is processed to explain the scope, pricing, and terms you ask about. FynePDF staff do not manually open or review your file contents.

AI features may send document content to the Google Gemini API to produce the output you request. Documents are not used to train AI models. Temporary files follow the deletion policy; saved documents follow the Library storage policy.

## Frequently asked questions

### Can it read complex pricing tables and matrices?

Yes, and it's where most of the value is. OCR runs automatically on every upload, so tiered pricing models, retainer tables and itemised SOW lists are read whether the proposal arrived as a native PDF or a scan, and you can ask directly: "what's the total cost for year two?", "what's in the setup fee?", "does this price include support?" The useful trick is asking for the total including everything outside the headline table, since that's where the number people actually budget against tends to differ from the one on the cover.

### Can I save the analysis for a presentation?

Three ways. Copy the executive summary straight from the chat, or download the whole evaluation as a .txt file, both work on the free plan. Saving a session to your Library so you can reopen it before a decision meeting is included with Professional and Premium.

### How do I check whether a vendor answered specific RFP questions?

Ask, one requirement at a time, "did they respond to the SLA availability requirement?", "is there a data residency commitment?", "what did they say about implementation timeline?" The agent either quotes their answer with the page it's on, or tells you the requirement isn't addressed. That second outcome is the one worth having: a vendor who skips a mandatory requirement usually does it quietly rather than declining, and it's far easier to miss than a bad answer.

### Can I compare several proposals side by side?

Proposal Analyzer works on one document at a time. To review proposals together, use Compare PDF with two or more files within your plan’s combined size limit. There is no file-count cap, and your shared AI allowance still applies. Review the cited comparison, then open individual proposals with Proposal Analyzer for a closer look.

### Can I use the Proposal Analyzer for free?

Yes. Read a document overview without signing in, then try one AI answer by typing a question, choosing a suggestion, or running the analysis. Each new upload gets one answer, shared across tools and agents. A paid plan unlocks further interactions within its AI allowance.

### How secure are my files and data?

File transfers use TLS encryption. AI features may send document content to the Google Gemini API to generate the output you request. Documents are not used to train AI models. Temporary AI files are deleted within 24 hours of upload; files saved to your Library follow the Library storage policy. Read the Privacy Policy for details.

### What should I look for in a vendor proposal?

The things that aren't in the summary. Total cost of ownership rather than the headline price, implementation, onboarding, training, data migration, overage rates and the year-two renewal number. What's explicitly excluded, since "out of scope" is where change orders come from. Whether the SLA covers the failure that would actually hurt you, and what the remedy is when it's breached, service credits are common and rarely worth much. Who specifically does the work, as opposed to who's on the pitch. Termination terms and what happens to your data on exit. And whether every mandatory RFP requirement was answered rather than gestured at. Ask the agent about each directly; the useful answers are usually the ones where it tells you the proposal is silent.

### How do I find the real total cost?

Add up everything outside the headline number. Ask for every cost mentioned anywhere in the document, not just the pricing section, implementation and onboarding fees, professional services days, training, data migration, support tiers, per-seat overage, third-party licences the vendor assumes you'll buy, and the renewal rate after year one. Then ask what the contract says happens if you exceed a usage tier. The gap between the cover price and that total is routinely substantial on enterprise software, and it's almost never hidden, just spread across fourteen pages so no one adds it up.

### Can I check my own proposal before I send it?

Yes, and it's one of the better uses of it. Upload your draft and ask what a buyer would notice: whether every RFP question is actually answered, whether the value proposition is clear in the first page, whether your pricing reads as complete or as though something's been left out, and where the language is vague enough to invite a follow-up. It's a useful stand-in for a cold read by someone who hasn't been staring at the document for a week, and the requirements you've missed are the ones that most often lose a bid.
